Customer Service Supervisor

The Customer Servicer Supervisor will leverage their expertise in HVAC service to coordinate documentation and maintain job costs of the branch.  The Customer Service Supervisor will be responsible for clear and frequent communication and coordination with branch leadership around branch finances, which includes maintaining our internal cost processes so that the ustomer receives accurate, professional and timely service. The Customer Service Supervisor will also oversee our customer communications and overall experience.

Responsibilities

  • Hold weekly scheduling meetings with coordinators and service managers

  • Review branch W.I.P (Work In Progress) costs

  • Track and Report gross margins

  • Develops relationships with internal operations and administrative staff to ensure customer satisfaction, and effectively and efficiently address issues.

  • Coordinates all activities with relevant department managers.

  • Process billings, credits and rebills

  • Tracking past due invoices along with customer contact to recetify accounts receivable

  • Maintain Inventory and purchase orders to include reconciling purchase order log

  • Preventative Maintenance cost forecasting, planning and backlog reviews

  • Demand service cost forecasting and planning

  • Job setup/scheduling/technician time tracking via COINS

  • Parts ordering

  • Scheduling and dispatching of technicians

  • Administrative duties as required

  • Safety

  • Critical thinking and problem solving skills. Ability to identify and assist with problem resolution.

  • Ability to collect data, establish facts, and draw valid conclusions.

  • Must have working knowledge of Microsoft Office applications, experience with CRM/sales software applications a plus.

  • This position does not allow for remote working opportunites. 

  • Work schedule is Monday through Friday 8am to 5pm, some overtime may be required
