Project Operations Coordinator
The Project Operations Coordinator is an integral part of our Controls Project Team and provides administrative support to our Project Managers and Controls Field Personnel.

This position requires an organized, motivated individual with proficient administrative skills. Must have an ability to learn and follow work flow processes accurately and timely. This position supports the Controls Projects Team and coordinates with our Projects Business Administrator.
Assist Managers with job site strategy & field coordination
Weekly maintenance of time sheet records & Per Diem reconciliation for Dept Employees and Temp Employees
Coordinates weekly demand for Temp Labor and communicate with Temp Agencies to maintain work level flow for PMs.
Backup to Projects Business Administrator for issuing all direct cost Purchase Orders to team
Entry of completed Purchase Order details into COINS system and management of Procurement Issues Log for Dept.
Assist Purchaser with the distribution of Vendor Invoices to Project Managers for approval and submission to AP Dept.
Weekly management of Dept AR Aging / Collections.
Backup to Projects Business Administrator for monthly billing of completed Project Work Orders.
Attend weekly PM meetings and assist with maintenance of updated Project Job List
Assist Managers with monthly Credit Card Statements; expense reimbursements; travel arrangements
Additional duties as requested by Management
Qualifications and Requirements
Must be proficient in Excel and Word.
Must possess organizational and administrative support skills.
Ability to adapt to new programs, responsibilities, and surroundings while possessing a positive and professional attitude.
Ability to communicate professionally with customers, employees, and all levels of management.
Proactive approach and the ability to work independently as well as part of a team.
Proven experience prioritizing tasks in order to meet tight deadlines within a fast paced environment.
Strong, self-motivated work ethic combined with a dynamic and winning attitude.
